Warm Embrace Home Care is hiring a Scheduling Coordinator to join our in-home caregiving team!
Our Scheduling Coordinator is responsible for accurately planning and coordinating the care for our clients. This position requires overseeing our office phones, during business hours Monday through Friday 9:00am-4:00pm; rotating on call after hours, beginning at 4:00 pm on Fridays until 9:00am on Mondays.
This is a remote position, but the right candidate will live in the Indiana area and have the ability to come into the office once a week initially, then monthly, as needed for meetings and training. Apply to join the Warm Embrace family today!

Scheduling Coordinator Duties & Expectations:
- Schedules shifts by matching caregiver qualifications and availability to client’s need
- Communicates new assignments and/or schedule changes to caregivers and client
- Identifies and addresses scheduling issues (i.e. call outs, no shows etc.)
- Obtain resources needed from office as needed for on call responsibilities such as laptop, tablet and/or phone along with any paper resources deemed necessary.
- Answer each incoming call in a friendly, professional, and knowledgeable manner and respond quickly to caller's needs.
- Fill all "call-out" shifts using designated office scheduling processes.
- Communicate changes in client shifts to the client(s) and caregiver(s)
- Contact backup staff when questions arise about clients or caregivers that require input
- Communicate client and caregiver concerns or problems to designated office key player.
- Field new client & caregiver inquiries over the phone in a knowledgeable manner and pass information to designated office key players
- Ensures all shift changes and client care adjustments accordingly

Knowledge, Skills and Abilities:
- Independent thinker with the ability for flexibility and creativity in finding and solving problems.
- Detail-oriented & proficient in managing multiple tasks
- Ability to work under pressure and in situations that demand patience, tact, stamina and endurance
- Strong organizational and interpersonal skills
- Experience with customer service and multi-line phones, with a demonstration to service to actively meet people’s needs
- Knowledge of health care is a plus
EDUCATION and/or EXPERIENCE:
- Superior customer service orientation
- Experience managing complex scheduling demands and managing multiple priorities
- Strong computer skills (Internet and Word essential, Excel and Outlook preferred).
